CLIENT

UK-Based Electrical Installation & Solar PV Company


ROLE OVERVIEW

Our UK-based client is seeking a highly organised and detail-oriented Administrator Coordinator to provide administrative and coordination support for electrical installation and solar PV projects. The successful candidate will be responsible for scheduling installations, coordinating engineers and installers, maintaining documentation, and ensuring projects are completed efficiently while delivering a high level of customer service.

This is a remote, work-from-home position for candidates based in South Africa, working according to UK business hours and public holidays.


WORKING HOURS

  • South African Summer: 09h00 – 18h00

  • South African Winter: 09h30 – 18h30
    (Aligned to UK working hours)


SALARY & BENEFITS

  • Basic Salary: Negotiable (depending on experience)

REPORTING TO

Operations Manager / Project Manager


KEY RESPONSIBILITIES

Project & Installation Administration

  • Set up and manage installation jobs from contract award through to commissioning and handover

  • Prepare and maintain job packs including designs, RAMS, installation checklists, DNO paperwork, and MCS documentation

  • Coordinate installation schedules with engineers, subcontractors, and customers

  • Track project milestones and update internal CRM systems

  • Ensure installations comply with MCS, Health & Safety, and company procedures

Customer Liaison

  • Act as a point of contact for customers regarding installation dates and access requirements

  • Liaise with suppliers, DNOs, surveyors, and installers

  • Handle incoming calls and emails professionally

  • Arrange appointments for engineers, surveyors, and sales teams

Compliance & Documentation

  • Collate and submit MCS certificates, DNO notifications, building control submissions, and warranty documentation

  • Maintain accurate records for audits and compliance checks

  • Support audit preparation (MCS, ISO, H&S)

Financial & Commercial Support

  • Raise purchase orders and support operations and sales teams

  • Assist with invoicing by ensuring completion documentation is accurate

  • Monitor project costs where required

General Administration

  • Maintain filing systems and shared project trackers

  • Produce reports on installation progress and workloads

  • Provide administrative support to operations and technical teams


REQUIRED SKILLS & COMPETENCIES

  • Strong organisational and time-management skills

  • High attention to detail and accuracy

  • Confident written and verbal communication skills

  • Ability to manage multiple projects simultaneously

  • Proficient in Microsoft Office (Excel, Word, Outlook)

  • Comfortable working with CRM systems


DESIRABLE EXPERIENCE

  • Previous experience within a trade, construction, electrical, or services environment

  • Experience coordinating field-based engineers or installers

  • Familiarity with Health & Safety documentation (RAMS)


WORKING CONDITIONS

  • Fully remote position

  • Standard UK business hours (flexibility required during peak installation periods)
